Auto Repair Shop Job Board Glossary and FAQ
Plain-language definitions of the terms shops use to track work, plus answers to the questions we hear most often from owners, advisors, and technicians.
- Approval
- The customer's authorization to perform work at a stated price. In a well-run shop, every approval is recorded with a timestamp and the amount approved, ideally as a text reply, so there is no dispute at pickup.
- Bay
- A single work station in the shop, usually with a lift, where one vehicle is serviced at a time. Bay count is the practical ceiling on how many cars can be worked on simultaneously and a key input to scheduling.
- Check-in
- The moment a vehicle formally enters the shop's workflow, when the advisor records the customer's concern, mileage, and contact preferences and creates the repair order. On a job board, check-in is the first status a car occupies.
- Comeback
- A vehicle that returns to the shop because the original repair did not resolve the concern or caused a new one. Comebacks are tracked separately because they cost the shop unbilled time and customer trust.
- Cycle time
- The total elapsed time from vehicle drop-off to the moment it is ready for pickup. It is the single most useful measure of shop flow because it captures every wait, not just the hours a technician spent on the car.
- Diagnostic time
- The labor time billed for identifying the cause of a customer concern before any repair is authorized. Many shops set a fixed diagnostic charge and then apply it toward the repair if the customer approves the work.
- Digital vehicle inspection (DVI)
- An inspection recorded on a tablet or phone with photos and notes, then shared with the customer electronically. A DVI makes approval requests easier to understand because the customer can see the worn part rather than take the shop's word for it.
- Drop-off
- When the customer leaves the vehicle at the shop rather than waiting for it. Drop-off customers need status updates because they are not present to see progress, and they are the main audience for text notifications and live status links.
- Estimate
- A written statement of the expected parts and labor cost for a repair, presented before work begins. In most states a customer must approve the estimate, and any work beyond it requires a separate approval.
- Flag hours
- The labor hours billed to the customer for a job, usually taken from a published labor guide rather than the actual clock time. Technicians paid on a flat-rate plan earn based on flag hours, which is why the term matters for both billing and payroll.
- Handoff
- Any point where responsibility for a vehicle passes from one person or stage to another, such as from diagnosis to the advisor for approval or from the technician to quality check. Handoffs are where cars stall, so a job board is designed to make each one visible.
- Job board
- A visual display, physical or on screen, that shows every active vehicle as a card placed in a lane that represents its current status. The board is the shared source of truth for where every job stands and who moves it next.
- Kanban
- A method of visualizing work as cards moving through columns, borrowed from manufacturing and widely used in software. Most repair shop job boards are a form of kanban, with columns for each status and a card for each vehicle.
- Labor guide
- A reference, usually a subscription database, that lists the standard time to perform a given repair on a given vehicle. Shops use it to build estimates and calculate flag hours consistently.
- Live status link
- A web page, unique to a single repair job, that shows the customer the current status of their vehicle whenever they open it. It replaces the phone call asking whether the car is ready and is usually sent by text at check-in.
- Multi-point inspection (MPI)
- A standardized checklist of vehicle systems that the technician reviews during a visit, typically rating each item as good, watch, or needs attention. The MPI is the usual source of the additional work that requires customer approval.
- Parts on order
- A status meaning the shop has ordered parts for the job and is waiting for delivery. Cars in this lane need an owner who checks arrivals, because a part that came in yesterday and sat on a shelf is one of the most common causes of lost days.
- Promised time
- The completion time the advisor committed to the customer at check-in or at approval. Tracking promised time against the board reveals which jobs are at risk before the customer calls.
- Quality check (QC)
- A final review of completed work, ideally by someone other than the technician who did it, before the vehicle is marked ready. A distinct QC status on the board prevents cars from being handed back with a loose clamp or a warning light still on.
- Repair order (RO)
- The document, paper or digital, that records the customer, the vehicle, the concern, the authorized work, parts, labor, and charges for a single visit. Each card on a job board corresponds to one repair order.
- Service advisor
- The person who greets the customer, writes up the concern, presents estimates and approval requests, and communicates status. In small shops the owner or a lead technician often fills this role alongside other duties.
- Shop management system (SMS)
- The software a shop uses for estimating, invoicing, parts ordering, and customer records. Many include some form of job status tracking; a dedicated job board either replaces that feature or connects to it.
- Status
- The current stage of a job, expressed as a single label such as Diagnosing, Waiting on Parts, or Ready for Pickup. A good status answers what the car is waiting on right now, and every status change should be timestamped.
- Sublet
- Work sent to an outside vendor, such as a machine shop, glass installer, or alignment specialist, and billed through the shop's repair order. Sublet jobs need their own board status because the vehicle or a component is physically off site.
- Technician efficiency
- The ratio of flag hours produced to hours the technician was clocked in, expressed as a percentage. It measures individual productivity, but it does not reveal waiting time, which is why shops pair it with cycle time.
- Two-way texting
- Messaging where the customer can reply to the shop's text and the reply lands with the advisor, rather than a one-way notification. Two-way texting is what makes text-based approvals practical, because the customer can answer yes in a single word.
- Waiter
- A customer who stays at the shop while the vehicle is serviced, as opposed to a drop-off. Waiters need less status communication but more attention to promised time, and their jobs are usually prioritized on the board.
- Work in progress (WIP)
- The number of vehicles that have been checked in but are not yet ready for pickup. High WIP relative to bay count means cars are waiting rather than being worked on, and it is a signal to slow intake or push jobs through.
Questions people ask
What is a job board in an auto repair shop?
A job board is a visual display, on a whiteboard or a screen, that shows every vehicle currently in the shop as a card sitting in a lane that represents its status. It answers, at a glance, which cars are being diagnosed, which are waiting on parts or approval, which are in a bay, and which are ready. Why do customers keep calling to ask if their car is ready?
Because they have no other way to find out. Silence from the shop reads as being forgotten, and the call is really a request for reassurance. Shops that send a text at each meaningful stage, or give customers a live status link at check-in, typically see those calls drop sharply because the answer is already in the customer's pocket.
Should a shop text or call customers for approval on extra work?
Text first for most customers, because they can answer a text from a meeting or a school pickup line when they cannot take a call. Bundle findings into one clear message with a price and a recommendation, and ask for a simple yes or no. Switch to a call when the amount is large, the customer has not replied within a reasonable window, or the explanation is too involved for a text.
What should a repair status text message say?
It should identify the vehicle, state the current stage in plain language, give a realistic expectation for the next update or completion, and tell the customer how to reply with questions. Skip shop jargon, avoid promising a time you cannot keep, and do not require the customer to log into anything to understand it.
How often should a job board be updated?
At every handoff, in the moment it happens. A board updated once at the end of the day is a decoration, not a tool. The way to make that realistic is to assign each transition to a role and make the update take no more than a couple of taps from wherever the person is standing.
Who should be responsible for updating the board?
Assign each status change to a role rather than to whoever notices. Typically the advisor moves cars into Checked In and Waiting on Approval, the technician moves cars into Diagnosing, In Bay, and Quality Check, whoever receives parts clears Waiting on Parts, and whoever hands over keys marks Picked Up. Post the rules near the board and enforce them for the first month.
Is a whiteboard good enough for a small shop?
For a one or two bay shop where everyone works within sight of the board, often yes. The whiteboard teaches the discipline of moving a card at every handoff, and that discipline is the hard part. Its limits show up when the front desk cannot see it, when customers need updates, and when the shop wants to know how long a car sat in a waiting lane.
How does a live status board save time for a shop?
Mostly by removing interruptions. The front desk stops walking to the bay to check on cars and stops answering status calls, the technician stops asking what is next, and the owner stops discovering stalled cars at closing time. The bay throughput gains are real but smaller, and they come from catching the handful of cars each week that would otherwise sit an extra day.
What numbers should a shop watch on its board?
Start with cycle time, meaning drop-off to ready, and time spent in waiting lanes, particularly Waiting on Parts and Waiting on Approval. Add work in progress, the number of unfinished cars in the building, to know when to slow intake. Those three tell you where days are being lost far more clearly than technician efficiency alone.
How do you keep cars from getting lost in a waiting status?
