Every service advisor knows the rhythm: the phone rings, a customer asks whether their car is ready, the advisor walks to the bay, checks with the tech, comes back and explains. Multiply that by every car in the shop and it eats a surprising slice of the day, right when the advisor should be writing estimates and chasing approvals.

This calculator multiplies your daily car count by the status calls each car generates and the minutes each call takes, then values that time at your advisor's hourly cost. You tell it what share of those calls a live status page or automatic text updates would remove. The result is an estimate, not a promise: it only counts advisor time, not customer goodwill or the extra work an advisor can sell when the phone stops ringing.

How to use this tool

  1. Enter how many cars your shop takes in on a typical day and how many status calls or texts each one generates before pickup.
  2. Set the average minutes per call and the hourly cost of the person answering, then estimate what share of those calls a live status page would eliminate.
  3. Compare the monthly labor value freed against the software cost to see the net monthly benefit.

What the math assumes

  • Assumes 22 working days per month.
  • Values advisor time at the fully loaded hourly rate you enter; it adds nothing for customer satisfaction, reviews or extra sales.
  • The share of calls eliminated is your own estimate, not a measured figure; the default of 60 percent is a placeholder to replace with your data.
  • Software cost is subtracted as a flat monthly figure with no setup or training time counted.
  • Interruption cost (the time it takes to refocus after each call) is not included, so real time saved is likely higher than shown.

Frequently asked questions

How do I count status calls per car?

Keep a tally sheet at the front desk for one week and count every inbound 'is it ready yet?' call or text, then divide by the repair orders closed that week. Include calls that reach the front desk and get routed to the advisor, because those interrupt two people.

What reduction percentage should I use?

Use a number you would defend to your own team. Customers who can see live status still call about price, pickup logistics and questions the status page does not answer, so 100 percent is unrealistic. Start around half and revise after a month of real numbers.

Does the time saved actually show up as cash?

Only if the advisor uses the freed hours to write more estimates, get approvals faster or take on more cars. If nothing else changes, the benefit is a calmer front desk and fewer dropped calls rather than extra revenue, which is still worth something but is harder to put a dollar figure on.
